Information We Collect

We collect information in three ways: when you give it to us, when you use the Site, and from service providers that help us run our business.

Information you give us

  • Contact form. Our contact form asks for your name, email address, phone number, company name, website URL, the service you are interested in, and a message about your business and goals.
  • Live chat. If you use the live chat feature on the Site, we collect what you type, such as your name, phone number, email address, and your questions.
  • Booking a call. When you book a discovery call through our third-party scheduling tools, you give us your name, email address, and any other details the booking form asks for, such as a phone number or notes about your business.
  • Phone calls and emails. If you call or email us, we receive your phone number or email address and anything you choose to share. We may keep notes from the conversation. We do not record phone calls.
  • Video meetings. Consultations and client meetings held on video conferencing platforms may be recorded. We will always tell participants when a meeting is being recorded. We use recordings for note taking, delivering our services, and quality purposes.
  • Client information. If you become a client, we collect the business details, account access, and billing information needed to deliver our services. That information is also covered by your service agreement.

Information collected automatically

When you visit the Site, we and our service providers automatically collect certain information using cookies and similar technologies, including:

  • your IP address and approximate location (such as city or region)
  • browser type, device type, and operating system
  • pages you view, links you click, how long you stay, and the page or site that referred you
  • the date and time of your visit

Information from others

We may receive information about your business from public sources (such as your website, GBP listing, online reviews, and search results) when we prepare an audit or proposal for you.

How We Use Your Information

We use the information we collect to:

  • respond to your questions and requests
  • schedule and hold discovery calls and meetings
  • prepare audits, proposals, and recommendations for your business
  • provide, manage, and improve our services for clients
  • send you follow-ups, updates, and marketing emails (you can opt out at any time, see below)
  • understand how visitors use the Site so we can improve it
  • protect the Site and our forms from spam, fraud, and abuse
  • meet legal, tax, and accounting obligations and enforce our agreements

Tools and Service Providers We Use

We use trusted third-party tools to run the Site and our business. These providers process information on our behalf and may set their own cookies. They include:

  • Analytics tools that measure Site traffic and help us understand how visitors use the Site.
  • A customer relationship management (CRM) system that stores form submissions and contact details and helps us manage follow-ups.
  • A live chat feature that lets you send us questions from the Site.
  • Spam and bot protection that screens our forms for spam, bots, and abuse.
  • Third-party scheduling tools that let you book discovery calls.
  • Video conferencing platforms for consultations and client meetings.
  • Web fonts and content delivery services that help the Site load quickly and display correctly. Your browser connects to these services, which shares your IP address with them.
  • Website hosting, email, and business software providers that host the Site, handle email, and support our day-to-day operations.

How We Share Your Information

We do not sell your personal information. We do not rent or trade it either.

We share information only in these situations:

  • Service providers. With the types of providers listed above and others that help us run our business, such as payment processing and accounting providers. They may use the information only to provide services to us.
  • Delivering client work. When you are a client, we may share business information with platforms and vendors needed to do the work you hired us for, such as search engines, GBP, ad platforms, content writers, or link building partners, as described in your service agreement.
  • Legal reasons. When we believe it is required by law, court order, or legal process, or to protect the rights, safety, or property of Tonic, our clients, or others.
  • Business transfers. If Tonic is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that deal. We will tell you if that happens.
  • With your permission. In any other situation where you tell us we can.

Cookies and How to Opt Out

Cookies are small text files that a website saves in your browser. The Site uses:

  • Essential and security cookies that help the Site, forms, and spam and bot protection work.
  • Analytics cookies that help us understand how visitors find and use the Site.
  • Chat cookies that keep the live chat feature working.

The Site does not currently use advertising cookies, ad targeting, or retargeting pixels to show you ads on other websites.

Your choices:

  • Browser settings. Most browsers let you block or delete cookies. If you block all cookies, some parts of the Site, such as the forms and live chat, may not work properly.
  • Analytics opt-outs. Some analytics providers offer their own tools or browser add-ons that let you opt out of being measured.
  • Global Privacy Control. Where required by law, we treat a Global Privacy Control (GPC) signal from your browser as a request to opt out of the sale or sharing of your personal information.

Some browsers send “Do Not Track” signals. Because there is no common standard for these signals, the Site does not currently respond to them.

Marketing Emails

If you contact us, book a call, or become a client, we may send you emails about our services, insights, and updates. You can unsubscribe at any time by clicking the “unsubscribe” link in any marketing email or by emailing info@tonicenterprises.co. Even if you opt out of marketing emails, we may still send you messages about your account, services, or requests.

Tonic does not send marketing or informational text messages.

How Long We Keep Information

We keep personal information only as long as we need it for the purposes described in this policy. In general:

  • Inquiries and leads (form submissions, chat conversations, and booking details) are kept for up to 24 months after our last contact with you, unless you become a client.
  • Client records are kept for the length of our relationship and for up to 7 years afterward to meet legal, tax, and accounting requirements.
  • Analytics data is kept for a limited period, then deleted or aggregated so it no longer identifies you.

When we no longer need information, we delete it or remove details that identify you.

How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections (HTTPS) on the Site, access controls on our accounts, and trusted service providers. No website, email, or storage system is 100 percent secure, so we cannot guarantee absolute security. If you think your information has been put at risk, please contact us right away.

The Site links to other websites and platforms, such as map services, social media sites, and our scheduling page. We are not responsible for the privacy practices or content of those sites. Please read their privacy policies before sharing information with them.
